Transparency first. This page explains what data we collect, how we use it, and the controls you have while building events and communities on Convene.

1. Data We Collect

We capture only the information required to run Convene responsibly and offer personalized experiences across organizer, attendee, sponsor, speaker, venue, and caterer workspaces.

  • Profile and verification details (name, role, contact info, professional bio).
  • Event and workspace activity (requests, tickets, approvals, analytics).
  • Device and usage telemetry for security, fraud prevention, and performance tuning.
  • Optional marketing preferences, survey responses, and uploaded media.

2. How We Use Information

Convene uses layered micro-services, so data is only shared internally on a need-to-know basis. Typical use cases include:

  • Powering dashboards, recommendations, analytics, and automated workflows.
  • Delivering notifications, invoices, and compliance records.
  • Improving matching models, combating spam/abuse, and building new features.
  • Meeting legal, accounting, and regulator reporting requirements.

3. Protecting Your Privacy

Security is built into our foundation: segregated VPCs, role-based access, encryption in transit and at rest, automated backups, and 24/7 monitoring.

  • Least-privilege access for all internal tooling.
  • Periodic penetration tests and dependency audits.
  • Dedicated incident-response runbooks with < 24 hour notification SLA.

4. Sharing & Transfers

We never sell personal information. Limited sharing happens only with processors that help us operate Convene (payments, storage, analytics) under strict contracts.

  • Vendors must support GDPR / DPDP compliant handling and sub-processing transparency.
  • Cross-border transfers rely on SCCs or equivalent safeguards.
  • We respond to lawful government requests only after legal review.

5. Your Rights & Controls

Depending on your jurisdiction, you can request access, correction, export, or deletion of personal data. We honor opt-outs for marketing and profiling where required.

  • Visit Settings → Privacy or email privacy@convene.com to open a ticket.
  • We verify identity before actioning any request.
  • Deleting an account removes most data within 30 days except items we must retain for compliance.

6. Data Retention

Operational records are retained only as long as needed to deliver the service or meet legal duties. Archived data is automatically purged on schedule.

  • Inactive workspaces are anonymized or deleted after 24 months.
  • Billing artifacts may remain for up to 7 years where tax rules require.

7. Children & Sensitive Data

Convene is built for professional collaboration; we do not knowingly collect data from children under 16 or sensitive categories unless explicitly provided for an event.

  • If a minor account is detected, it is removed and the guardian notified.
  • Sensitive uploads (IDs, certificates) are encrypted and purged when no longer required.

8. Updates to This Notice

We revise this policy whenever we ship substantial changes. You will always find the current version on this page and inside the Settings → Legal center.

  • Significant updates trigger email or in-app notifications.
  • Continued use of Convene after an update means you accept the new terms.
